Why a regular review matters
In many small businesses, IT has grown piece by piece as needs arose. While everything works, the gaps stay hidden; they only show up after a hardware failure, a cyber attack or a key member of staff leaving. A structured review at least once a year helps you spot those risks before they turn into problems.
Network, firewall and Wi-Fi
The network is the foundation everything else relies on. Running on the internet provider’s default router settings isn’t enough, even for a small office. Separating guest traffic and devices such as cameras from the business network greatly reduces your exposure.
- A business-grade firewall with current firmware
- Separate networks (VLANs) for guests, staff and devices
- Wi-Fi with strong passwords and surveyed coverage
- VPN for remote access rather than open ports
- A tidy, labelled cabinet and cabling
Servers, NAS and backups
Know where your files, accounts data and applications actually live. Check the age of any server or NAS, the health of its drives and whether it’s protected by an uninterruptible power supply.
Having backups running isn’t the same as being protected. Make sure a copy is kept somewhere else and that restores are tested regularly. A backup that has never been restored can let you down exactly when you need it.
Licences and user accounts
Keep track of licences for operating systems, office software and security products. On the accounts side, the most common issue we find is former employees’ accounts still active.
- A licence register with renewal dates
- Named accounts for every user, not shared logins
- Multi-factor authentication on email and key systems
- A leavers’ process that closes accounts promptly
- Admin rights only for those who need them
Documentation and support
Network diagrams, IP addressing, a secure password vault for device credentials and supplier contacts should all be written down. If this knowledge lives in one person’s head, even a simple fault can drag on when they’re unavailable.
If you have a support contract, be clear on its scope, response times and which work is chargeable on top.
In short, and how fountr can help
Not every item carries the same weight for every business; what matters is seeing the gaps and prioritising them. We carry out on-site infrastructure reviews, share the findings in a plain-English report and, if you’d like, provide ongoing support to keep things in order.
